[IGPP Everyone] [EPSS Everyone] Attending local mtg/conf (like COSPAR)? please read

Dear Everyone,

The 2018 COSPAR conference (Committee on Space Research) is scheduled to be held in the US this summer – at the Pasadena Convention Center, July 14-22. For anyone who plans to attend please note the restrictions below concerning travel-related expenses such as meals and lodging for local (Los Angeles area) events:


•         LODGING - Since Pasadena is located within a 40-mile radius of UCLA, campus travel policy prohibits reimbursement of overnight lodging expenses for participants from UCLA without prior approval for an exception to policy due to certain extenuating circumstances – for example, if a participant is required to attend both an evening meeting AND an early morning meeting the next day.


•         MEALS – Travel policy prohibits reimbursement of meal expenses for same day travel (travel that does not include overnight lodging, as verified by a lodging receipt).

If you anticipate a need to be reimbursed for meals or lodging please submit a request to Frankie or Rick soon so they can forward it to UCLA Travel for advance approval.



•         TRANSPORTATION – Travel policy DOES allow reimbursement of mileage (54.5 cents/mile) or ride-sharing expenses such as Uber/Lyft (provide a receipt) for participants to commute to/from the conference each day.
