FORM W-2 ELECTRONIC DISTRIBUTION:

UCLA Payroll Services strongly encourages the use of electronic W-2 distribution through UC At Your Service Online: https://atyourserviceonline.ucop.edu

The expanded use of online W-2 distribution:
•      Saves paper and environmental resources
•      Reduces costs of supplies and services to strengthen UC’s budget.
•      Allows employees to get a head start on their tax return (electronic W-2’s will be released roughly two weeks prior to paper W-2’s).
•      Reduces the number of mailed forms which are lost in the mail or sent to old addresses.
•      Provides employees with a secure source to access current and past W-2 forms.

Please continue to encourage your staff to sign up for online W-2 distribution before the deadline on December 31, 2017. Employees can use this instructional video as a guide to this process: http://training.payroll.ucla.edu/onlinew2/.

FORM W-2 PAPER DISTRIBUTION:

W-2 forms for employees who do not elect to sign up for electronic W2 distribution, will be mailed to the employee by January 31, 2018, (as required per IRS regulations), to the employee’s personal address on file in the Personnel/Payroll System.

Any old or incorrect addresses in the system need to be updated as soon as possible.  Remember that the Permanent Address should not have a 90095 zip code nor should it be a UCLA campus address.

Please review and update your employee’s addresses in EDB or instruct your employees to review and update their addresses via the At Your Service Online Website as soon as possible.

The last date that an address can be updated in AYSO or EDB for form W2 is: December 31, 2018.

Encourage all Faculty, Student and Staff employees to logon to UC At Your Service Online to sign up for online W2 distribution today!!
